Clinics and dispensaries

Run your clinic from one record, not five registers

Register patients, see them, dispense and take payment on one system that works on a laptop, tablet or phone, and keeps working when the internet drops.

Most clinics go live in about four weeks: a site visit and setup in week one, records imported and staff trained in weeks two and three, and our team with you on go-live.

Seeing patients all day, then tallying registers all night?

In a small clinic the same few people register patients, see them, dispense and take the money. Each step goes into a different book, and none of them agree at the end of the day.

Patient cards go missing, a dispensed drug never reaches the bill, and the cash count is short with no way to tell why. At month end someone sits down with the registers to count cases for the ministry report.

TibaCloud gives every patient one record, from the front desk to the cash desk, so what the doctor orders is what gets dispensed and billed, and the monthly report builds itself.

What you need

Built around how clinics work

  • One ID per patient

Find returning patients in seconds and see every past visit, instead of searching for a card.

  • Quick consultations

Vitals, notes and diagnoses on one screen, with the full patient history beside them.

  • Dispensing that bills itself

Prescriptions go straight to the dispensary and onto the bill, with batch and expiry tracking.

  • Mobile money at the desk

Payments matched to bills automatically, with no separate integration fee.

  • Monthly reports done for you

Ministry reports built from your visits, ready to submit to DHIS2 where your country uses it.

  • Keeps working offline

Register, consult and bill during outages; everything syncs when the connection returns.

Inside the system

  • The front desk registers a new patient in under a minute. Each patient gets one record number for life, duplicates are caught before they are saved, and the triage queue puts the sickest patient first.

Clinics: questions

Can a small clinic use TibaCloud without IT staff?

Yes. TibaCloud runs in the cloud, so there is no server to buy or maintain, and hosting, daily backups and updates are included. It works in a web browser on computers, tablets and phones. Support is by phone, WhatsApp and email.

How many people in the clinic can use it?

The Clinic plan includes five users, each with their own login and role. If the team grows past that, you can move up to the Medical Centre plan, which includes 20 users; upgrades take effect straight away.

Our clinic does a few tests in-house. Is there a laboratory module?

The laboratory module is part of the Medical Centre plan and up, together with stores, insurance claims and SMS. Many clinics start on the Clinic plan and upgrade when they add a lab; your records stay where they are.

Can we bill insurance on the Clinic plan?

Insurance claims, including member checks and pre-authorisation, come with the Medical Centre plan and up. On the Clinic plan you can take cash and mobile money, which are matched to bills automatically.

What happens to our records if the internet goes down?

Offline mode keeps registration, consultations and billing working during an outage. Changes sync automatically when the connection comes back, so nothing has to be re-entered.
